Portfolio HOA/Condo Manager

Choice Community Association Management has been providing stellar community management services in Phoenix, Scottsdale and West Valley since 2018. High HOA account retention record, HOA accounts are vetted before providing proposals.

Seeking a full-time position with an experienced customer service oriented, self-motivated, multi-tasking portfolio manager from our Glendale office. Portfolio managers must be available to attend evening meetings, work directly with the Board of Directors and contractors and have a general understanding of Governing Documents and state laws that affect HOAs to ensure compliance

  • Interact with homeowners, vendors and service providers on a frequent basis, meet with vendors when necessary. Tour the community and monitor property compliance. Issue non-compliance letters. Answer calls and respond to e-mails
  • Research, create and disseminate communications to homeowners via email blast regarding Association activities and policies.
  • Solicit, negotiate and execute contracts for Association vendors and service providers. 
  • Process architectural requests, monitor board response
  • Prepare and submit bid specs and work orders to vendors/service providers, as needed.
  • Plan, budget, advertise, execute and attend Association events with Boards/Committees approval
  • Develop and implement policies and carry out tasks assigned by the Board of Directors
  • Review, analyze, and present monthly management/financial reports to appropriate parties; identify, and work with accounting to resolve, any discrepancies in reports.
  • Research, prepare and provide annual budgets to the Board of Directors.
  • Review, modify, code and approve Association invoices.
  • Schedule, organize and facilitate annual Board of Directors meetings and other special meetings as required by Association policy and Arizona law.
  • Follow up on action items for each community
  • Obtain legal opinions (when asked to)
  • Take pictures of items in need of repair, items to be replaced or that need maintenance
  • Attend seminars and webinars to stay updated with current laws and regulations

  • Excellent interpersonal skills: outgoing & communicative, socially oriented, poised, effective in groups, articulate, persuasive in expression, strong public speaker.
  • Time Management: the ability to handle multiple tasks simultaneously, establish priorities, and meet deadlines.
  • High attention to detail.
  • Experience working with HOA's or other entities that involved knowledge and enforcement of Governing Documents.
  • Exceptional organization and tracking skills.

Physical Demands & Work Environment:

  • Walking communities to inspect common areas per management contract.
  • Sitting and standing for moderate periods of time.

Minimum Qualifications, Education and Experience

  • High School Diploma or equivalent.
  • 2 years: Experience as an assistant HOA Community Manager encompassing all of the following: Customer service experience with strong emphasis on problem-solving, seeking harmony and defusing conflict. Experience working with HOAs or other entities that involved knowledge and enforcement of Governing Documents. Contract administration. Vendor management. Meeting facilitation with boards of directors and/or business partners. 
  • Knowledge of modern office equipment, practices, and procedures.
  • Skilled in computer operations and pertinent software applications including Microsoft Office suite of products.
  • Understanding of project management, budget management, and strategic goal development.
  • Successful completion of background check.

Salary Determined by Experience, Salaried position
