Courtroom Assistant

The Courtroom Assistant coordinates courtroom proceedings in the Initial Appearance (IA) court where the accused are entitled to arraignment within 24 hours of arrest. In addition, the Courtroom Assistant processes time sensitive paperwork such as search warrants, arrest warrants and direct complaints. The Courtroom Assistant is a vital part of the administrative support team that ensures smooth case flow in support of the daily operations of the Judicial Branch.

Intake Transfer Release (ITR) Facility, IA Court is located at: 2670 S. 28th Drive, Phoenix, AZ 85009.

Schedule: Wednesday - Saturday: 6:00 AM - 4:30 PM

Position Qualifications:

• High School Diploma or GED
• Two (2) years of progressively responsible administrative experience OR
• Post-secondary education may be considered in substitution for one (1) year of the required experience.

Our Preferred Candidate Has:

• Experience in a court or legal environment, or other experience that would demonstrate possession of the required knowledge and abilities.
• Experience with Microsoft Office.

Knowledge, Skills, and Abilities:

• Knowledge of court policies and procedures, legal terminology, customer service standards and procedures.
• Superior Court and Justice Courts Programs.
• Case-flow management.
• County Attorney, Public Defender, Victim Advocate, Federal Probation, Superior Court, Justice Courts, Municipal Courts and Adult Probation Programs.
• Skill in computer software such as Integrated Court Information System (iCIS), MS Office software such as Outlook, Excel, and Word.
• Effective written and verbal communication.
• Providing excellent customer service.
• Preparation of statistical reports.
• Ability to multitask and cope with high volume and a time critical work environment.
• Establish and maintain working relationships with others.
• Understand and accurately brief oral and written instructions.
• Make sound decisions in accordance with regulations, policies, and procedures.
• Work independently with little supervision.

Essential Job Tasks:

• Interacts directly with the public, attorneys, case managers, court staff, outside agency staff, court interpreters, MCSO deputies, and court security.
• Prepares, maintains, and revises daily court calendars, including setting hearings.
• Performs IA Court docket management and obtains and scans all paperwork relative to cases on the docket.
• Enters data into iCIS from citations and/or paper referrals that has been submitted by police agencies.
• Performs case management entries and/or retrievals to include but not limited to: Integrated Court Information System (iCIS), Integrated Court Information System - Next Generation (iCISng), Adult Probation Enterprise Tracking System (APETS), Justice Web Interface (JWI), and Sheriff's Inmate Electronic Data (SHIELD).
• Answers public information phone line.
• Logs and tracks filings, updating case monitoring system with correct information.
• Reviews case files for completeness; contacts interested parties for missing information.
• Prepares courtroom, gathers all parties for hearings, directs when cases will proceed to courtroom and information for Judicial Officer review prior to hearings.
• Processes search warrants, warrants for arrest, and after-hours Direct Complaints.

Working Conditions:

• This position works a schedule that requires day work consisting of four, ten-hour shifts located in a secured, jail facility environment, including nights and weekends.
• While performing the duties of this job, the employee may need to communicate clearly, perceive details of objects that are close by, and maintain various physical positions for extended periods, such as sitting, standing, or walking. The job may involve using hands for tasks such as typing, handling objects, or operating tools, as well as reaching with hands and arms. Occasionally, the employee may be required to move or lift objects weighing up to 20 pounds. Reasonable accommodations may be made to enable individuals with disabilities to perform these functions.
