Office Manager (Construction)

Location: Glendale, AZ | Type: Full-Time

Position Overview

We are seeking a highly organized Office Manager to oversee administrative operations while

supporting HR, payroll, and accounting functions for a growing asphalt paving and heavy civil

construction company. This role is critical to ensuring smooth back-office operations and accurate

project support.

Key Responsibilities

Human Resources (HR)

• Manage onboarding/offboarding (I-9s, E-Verify, employee files)

• Maintain compliance with labor laws and company policies

• Administer benefits and support employee relations

• Coordinate recruiting and job postings

Payroll (Weekly & Certified Payroll)

• Process weekly payroll with a high degree of accuracy

• Maintain and submit certified payroll reports (prevailing wage projects)

• Ensure proper labor allocation to jobs (job costing alignment)

• Track PTO, deductions, and timekeeping accuracy

• Coordinate with field teams for accurate time entry

Administrative Operations

• Oversee daily office functions and workflow

• Manage vendors, supplies, and office organization

• Maintain contracts, insurance certificates, and compliance documents

• Support document control and filing systems

Accounting Support

• Assist with AP/AR (invoicing, collections support)

• Support month-end close and reconciliations

• Maintain job files and assist with project documentationQualifications

• 3–7+ years in Office Management, HR, or Payroll

• Construction industry experience preferred

• Certified payroll experience strongly preferred

• Experience with payroll systems (e.g., Paycor, ADP)

• Strong organizational and multitasking ability

• Proficient in Excel and administrative systems
