As an Office Assistant, you'll play a vital role in keeping our office and properties running smoothly. This position supports our entire team, everything from answering phones and scheduling to property inspections, supply runs, and key drop-offs. You'll work across guest experience, partner support, administrative tasks, and on-the-ground operations to help deliver consistently excellent service. Responsibilities: Spa Partner Relations, Administration & Problem Solving • Manage multiple channels of partner communication to assist with needs in a timely manner • Support invoice processing, partner follow-up, and scheduling as needed Guest Experience, Reservation Management & Hospitality • Manage multiple guest and team communication channels to assist with needs in a timely manner • Support hotel operations, guest needs, and invoicing follow-up • Assist with online shop orders, gift certificate prep, and influencer collaborations Marketing & Social Media Exposure • Assist with marketing support tasks such as scheduling, messages, and platform input • Gain insight into our social media strategies and tools, including: Cloudbeds, HubSpot, Wix, G-Suite, Office, Instagram, Facebook, TikTok, Pinterest, Canva, Onlypult, Lightroom, and more Field Property Inspections & Quality Control: Hospitality & Spa Properties • Conduct routine property inspections, ensuring cleanliness, staging, and presentation standards • Identify issues and report/coordinate solutions with the team and vendors • Support and stock property inventory, communicate needs in a timely manner (linens, consumable goods, etc) Office & Team Support • Work with staff to support operations, taking ownership as a team player, as additional dutiesare assigned • Help maintain high-quality customer experiences across all companies & properties Qualifications: • Operationally Reliable + Detail-Oriented: Able to juggle multiple priorities, follow checklists, and keep tasks moving with minimal supervision in a fast-paced environment • Strong Communication + Customer Service: Confident handling phones, email, text/chat platforms, and in-person interactions with guests, partners, vendors, and teammates—always professional and solutions-focused • Tech-Savvy + Quick Learner: Comfortable using (or learning quickly) tools like Google Workspace, Microsoft Office, Cloudbeds, HubSpot, Wix, and social platforms; able to keep records organized and up to date • Hospitality Mindset: Naturally proactive about anticipating guest needs, resolving issues calmly, and maintaining high standards for service, presentation, and follow-through • Hands-On & Flexible: Willing to jump in where needed, trash runs, key drop-offs, supply stocking, errands, and last-minute support. A “no task too small” attitude • Field-Ready + Quality Control Focused: Able to conduct property inspections, spot issues, document them clearly, and coordinate fixes with the team/vendors; comfortable being on the move between locations • Trustworthy & Accountable: Demonstrates discretion with guest/partner information, handles invoices/orders responsibly, and takes ownership from start to finish Compensation: $20 hourly
