Mail Services Assistant - Team Lead

Summary
Experienced Team Lead responsible for overseeing daily service delivery across three site locations. Ensures operational excellence through effective team leadership, resource management, and strong client partnership. Thrives in a fast‑paced environment, balancing on‑site support, staff development, and process improvement while maintaining high service standards.

Key Responsibilities

* Handle all materials received in the Mail Center (receive, review, receipt, document, process,
prepare, identify, separate, deliver, transport, etc.).
* Deliver, pickup, and transport materials within, between, to, and from various departments and
buildings.
* Inspect deliveries for suspicious or threatening items.
* Pickup outbound boxes and packages from internal customer locations.
* Ability to sort items into categories according to established methods.
* Prepare items for processing, shipment or transportation.
* Enter activity data in logs, maintain records.
* Ensure all safety procedures are followed at all times.
* Prepare and process outbound courier shipments using computer or service provider's
equipment (such as FedEx).
* Ability to cross train on other roles within department; responsible for carrying out other duties
as appropriate due to staff absences or at the discretion of management.
* Other duties as assigned by manager

Qualifications

• HS Diploma or equivalency required; higher education preferred
• Mailroom experience required; leadership experience preferred
• Working knowledge of Microsoft Products including: Word, Excel, Outlook, PowerPoint, and Teams
• Must demonstrate leadership qualities and exceptional customer service skills
• Must be adaptable to a dynamic environment while possessing strong interpersonal skills
• Able to learn new skills quickly
• Flexible and able to juggle multiple, and at times, conflicting priorities
• Strong initiative required; ability to work independently with minimal direct supervision
• Able to remain diplomatic in stressful situations; team oriented and has the capacity to build strong working relationships both within the team and with external stakeholders/customers
• Exhibits superior verbal and written customer service skills
• Maintains confidentiality while working with highly sensitive materials
• Able to walk, bend, kneel, stand, and/or sit for extended periods of time
• Able to lift or move 50lbs or greater at times
