The Receptionist answers inquiries and provides information to the general public, customers, visitors, and other interested parties regarding activities conducted at the corporate office and the location of departments, offices, and employees within the organization.
As directed or needed, will help prepare incoming and outgoing mail for distribution. Uses hand or mail handling machines to time stamp, open, read, sort, and route incoming mail; and address, seal, stamp, fold, stuff, and affix postage to outgoing mail or packages. Duties may also include keeping necessary records and completed forms.
- Operates telephone switchboard to answer, screen or forward calls, provide information, take messages, or schedule appointments
- Greet persons entering the establishment, determine nature and purpose of visit, and direct or may escort them to specific destinations
- Transmits information or documents to customers using computer, mail, or facsimile machine
- Provides information about the company, such as location of departments or stores, employees within the organization, or services provided
- Collects, sorts, distributes, or prepares mail, messages, or courier deliveries
- Processes and prepares memos, correspondence, travel vouchers, or other documents- Receives payment and records receipts for services- Seals or open envelopes, by hand or by using machines- Affixes postage to packages or letters by hand, or stamp materials, using postage meters- Verifies that items are addressed correctly, marked with the proper postage, and in suitable condition for processing- Places incoming or outgoing letters or packages into sacks or bins based on destination or type, and place identifying tags on sacks or bins- Orders office supplies from company approved vendors.- Sorts and routes incoming mail, and collect outgoing mail, using carts as necessary- Weighs packages or letters to determine postage needed, using weighing scales and rate charts- Determines manner in which mail is to be sent, and prepares it for delivery to mailing facilities- Lifts and unloads containers of mail or parcels onto equipment for transportation - Wraps packages or bundles by hand, or by using tying machines
- Requires high school diploma or equivalent, and two (2) years of data entry experience; or an acceptable combination of education and experience
- Excellent customer service skills and friendly, positive attitude, outgoing and pleasant demeanor.
- High level of attention to detail
- Ability to handle large in-coming call volume- The ability to deal with irate or upset callers- Strong degree of accuracy and speed- High level of proficiency in Word, Excel and Outlook
Physical Requirements
Most work is performed in a normal office environment Lift and carry materials weighing up to 20 pounds Operate a variety of standard office equipment including a computer, telephone, calculator, copy and fax machine requiring continuous and repetitive arm, hand and eye movement Travel to/from meetings and to various locations
