Office Hospitality Conference Room Assistant and Receptionist Job Details:

Utilize your superior interpersonal skills at Snell & Wilmer. We currently have an opening for a Hospitality Conference Room Assistant and Receptionist role in our Phoenixoffice.

If you have the ability to work under pressure, respond quickly to changing demands and be self-motivated with ability to work independently as well as part of a team, this could be your next exciting opportunity.

The hours for this position are Monday through Friday 8:00am to 5:00pm. Must be flexible to work between 7:00am-6:00pm Monday - Friday as business needs arise, plus occasional weekends.

Position responsibilities include, but are not limited to the following:

  • Professionally arranges and provides food service for various meetings
  • Set up and clean conference rooms according to the daily event schedule.
  • Maintain cleanliness and stocked supplies in all kitchens, refrigerators, and coffee stations.
  • Assist with catering orders, delivery coordination, setup, and cleanup.
  • Maintain conference room schedules and administrative calendars.
  • Prioritize and multitask efficiently to support office operations.
  • Interact professionally with internal and external clients at all levels.
  • Handle sensitive information with discretion and sound judgment.
  • Escort or direct visitors and clients to designated conference rooms.
  • Uphold the Firm's professional image by maintaining an organized and polished reception area.
  • Answer incoming calls promptly and courteously, taking accurate messages when needed.
  • Greet visitors and notify appropriate personnel of their arrival.
  • Assist attorneys with various administrative tasks, such as making reservations or scheduling couriers.
Experience and Qualifications:
  • Prior hospitality experience preferred
  • Law firm experience is a plus, but not required
  • Strong, professional communication skills with the ability to interact effectively with attorneys, staff, and visitors
  • Basic computer skills and Microsoft Office Suite (Outlook, Word and Excel)
  • Excellent time management skills with a proven ability to meet deadlines
  • Must have a professional appearance, enthusiastic attitude, and clear and courteous phone presence
  • Strong problem-solving abilities
  • Ability to perform physical tasks, including walking with a food cart, bending, lifting, standing, and carrying up to 50 pounds
