Summary:

Womble Bond Dickinson (US) LLP, a transatlantic law firm with over 1,000 lawyers based in 30 US and UK office locations, seeks an organized and action-oriented Legal Practice Assistant for our Commercial and Construction Litigation Team. This role provides critical coordination support to a team of lawyers, spanning pleading and document preparation, tracking service, interacting with clients, and interacting with the Litigation team on ongoing matters. The Team would welcome this new addition as an indispensable internal team member.

This position is non-exempt, and reports to the Director of Administration, and receives daily direction from the assigned attorneys or other timekeepers. This position is located in our Phoenix, AZ office, a hybrid schedule allowing for some remote work may be considered.

Duties and Responsibilities:

  • Draft, format, and proofread written materials, forms, and other documents in MS Word with vigilant attention to detail, grammar, and editing
  • Data maintenance, data / electronic document management, and reporting, in compliance with firm policies using document management software and spreadsheets, such as NetDocs or iManage and MS Excel
  • Organized, timely, and accurate filing of documents on a regular basis
  • Manage, monitor, and proactively follow up on both docketed and non-docketed deadlines (firm has docketing dept.)
  • E-Court filing using State and Federal Court filing systems and the ability to accurately decipher court rules (Turbo Court) (CM/ECF)
  • Prepare and maintain document binders (or supervise the work of project clerks who prepare them)
  • Redlining of contracts utilizing comparison software
  • Schedule and organize events such as meetings as well as liaise with multiple internal departments, or utilize and review the work of other internal resources handling the details
  • Interact with Clients creating notifications regarding service of process, answer due dates and disclosure statement and pleading information needed (with a cc to Litigation Team)
  • Proactively outreach to clients to provide updates, follow up on open items, and communicate next steps
  • Complete projects under agreed-upon deadlines and proactively work towards successfully meeting those deadlines
  • Take ownership to organize and track the many activities occurring during the lifecycle of a matter
  • Develop and maintain positive business relationships with clients, paralegals, attorneys, and other colleagues
  • Maintain complete confidentiality of client matters through demonstrated diplomacy and discretion
  • Manage and maintain timekeepers' schedules and calendars
  • Handle CLE related tasks including updating the Firm's CLE database for assigned lawyers' CLEs, research issues, and obtain needed certification documents
  • Deliver important administrative support needed by a busy lawyer, such as scheduling, time entry based on detailed notes, expense reporting for client and court related expenses, email management, correspondence, initiating conflict checks, and opening matters as requested
  • Successfully work as part of a team and collaborates with colleagues
Education and Experience:
  • At least 5 or more years of experience of litigation experience
  • Demonstrated knowledge of the administrative aspects of the practice of commercial law, and litigation in particular
  • Associate or Bachelor degree, additional relevant experience will be considered as an alternative
  • Self-managed, energetic, and value-added to the Team
  • Hands on experience with both electronic and paper file organization and maintenance; NetDocs or iManage preferred
  • Intermediate expertise with MS Word and experience utilizing MS Excel for tracking projects or managing deadlines
  • Solid time management skills; ability to execute within established processes and directions on a timely basis; solid prioritization skills and results-driven orientation
  • Demonstrated ability to capture details and work in a busy practice producing work product with a high degree of accuracy
  • Professional demeanor and experience communicating through different channels, and with different personalities/audiences
  • Proven, highly developed organizational skills
  • Project management mindset including the ability to monitor the due dates and status of multiple tasks simultaneously, both their own and that of others involved in the work
  • Demonstrates astute judgement – knowing when to triage a problem and work through it on their own and when it is best engage or notify others
