Job Summary:
As the Dental Office Manager, you will be responsible for overseeing the daily operations of the dental office, ensuring that all aspects of the practice run smoothly. You will play a key role in managing the practice's front desk operations, treatment planning, insurance billing, and patient collections. Additionally, you will be responsible for leading a team and implementing policies and procedures to optimize office efficiency and performance.
Key Responsibilities:
Treatment Planning: Collaborate with the dental team to ensure accurate treatment plans are created and communicated clearly to patients. Work closely with dentists to ensure the treatment plans align with patient needs and insurance coverage. Should be comfortable to present 30k or up treatment plan.
Billing & Collections: Oversee insurance billing processes, including accurate coding and submission of claims. Ensure timely and accurate collection of patient payments, including insurance follow-ups, patient statements, and payment arrangements.
Staff Supervision: Manage front office staff ensuring smooth daily operations. Provide leadership, training, and ongoing support to the team.
Office Operations: Supervise and improve office systems, including scheduling, patient flow, inventory, and maintaining an organized and efficient office environment.
Patient Relations: Maintain a patient-first environment. Address patient concerns, complaints, and inquiries in a professional and empathetic manner. Ensure a positive patient experience from check-in to checkout.
Performance & Goal Achievement: Monitor key performance indicators (KPIs) for office operations, including revenue collection, appointment scheduling, and patient satisfaction. Work toward meeting established goals, with a performance-based bonus structure available upon meeting goals (1-2% of collections).
Compliance & Quality Control: Ensure compliance with all federal, state, and local regulations, including HIPAA and OSHA. Ensure the practice adheres to quality control standards.
Required Qualifications:
Proven experience as a Dental Office Manager or in a similar administrative or managerial role in a dental practice.
Strong understanding of dental treatment planning, insurance billing, coding, and patient collections.
Excellent communication and interpersonal skills to build rapport with patients and staff.
Ability to lead a team, manage staff, and foster a positive work environment.
Strong organizational skills with the ability to multitask and manage competing priorities.
Knowledge of dental office management software and basic office technology.
Demonstrated ability to achieve office performance goals and manage financial responsibilities effectively.
Preferred Qualifications:
Experience with dental insurance verification and handling a wide variety of insurance carriers.
Experience in treatment plan coordination and financial management of patient accounts.
Leadership experience with the ability to motivate and drive results from a team.
Compensation & Benefits:
Competitive hourly wage starting at $35/hour or more, based on experience.
Performance-based bonus structure (1-2% of collections after office goal is met).
