The Office of the City Engineer is responsible for overseeing the selection of architects, engineers, and contractors to execute the City's 5-year, $11 billion Capital Improvement Program. The Central Records section plays a crucial role in managing and maintaining the documentation related to the Capital Improvement Program (CIP) for the city. The different types of records available range from contracts to geographical information systems (GIS) data, inspection reports, and legal notices. This section ensures that the city's capital projects are well-documented and accessible for future reference, decision-making, or compliance purposes.
The Office of the City Engineer, Central Records section is looking to fill a vacancy for an Administrative Assistant III. The primary duties of this position include, but are not limited to:
- Manage and process high-level records requests from law firms and other high-profile entities.
- Supervise and oversee the Central Records staff, including Engineering Technicians, Senior Engineering Technicians and Chief Engineering Technicians.
- Serve as the Capital Improvement Plans (CIP) Records Manager, responsible for maintaining and ensuring compliance with all records retention policies and schedules.
IDEAL CANDIDATE - Knowledge of Arizona Revised Statutes (A.R.S) Title 34.
- Proficiency in computer programs such as Microsoft Office and SharePoint.
Ability to:
- Meet strict deadlines and have excellent time management skills.
- Provide quality customer service by telephone, email, or in person.
- Communicate in writing or verbally in a clear and effective manner with multiple levels of staff, other city departments, external customers, contractors, vendors, entities and the public.
SALARY Pay Range: $69,492.80 to $113,193 annually.
Hiring Range: $69,492.80 to $113,193.60 annually.

MINIMUM QUALIFICATIONS - Five years of experience in public administration or research and finance.
- One year of supervisory experience.
- Bachelor's degree in public administration or a related field.
- Must be able to lift and carry materials weighing up to 30 pounds.

- Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.

PREFERRED QUALIFICATIONS The minimum qualifications listed above, plus:
Experience with/in:
- Electronic document management systems (EDMS) or Unifier.
- Facilitating presentations and meetings to small and large groups.
- Creating and/or implementing process improvements or efficiencies.
