Description:

We are seeking a skilled Executive Assistant to provide high-level administrative assistance to the CIO of a large mining company. The successful candidate will engage in reporting, presentations, phone calls, and conferences.

About the Role:

  • Full time opportunity w/ comprehensive benefits
  • Flexible hybrid schedule (dependent on the CIO - could be once/month or twice/week)
  • Office location: Downtown Phoenix, AZ
  • Must be local to Phoenix, AZ


Key Responsibilities:

  • Provide high-level administrative and secretarial support to CIO.
  • Relieve supervisors of various administrative tasks, allowing for more focus on strategic operations.
  • Compose and prepare written documents, including presentations, memoranda, letters, and reports.
  • Compile statistical data and generate complex financial and operational reports.
  • Manage and maintain complex, often confidential files, databases, records, and schedules.
  • Answer phone calls, providing information to internal and external customers and the general public.
  • Develop and maintain operating policies, procedures, and practices; interpret and apply established policies to resolve issues.
  • Handle incoming email, directing responses or forwarding to supervisors as necessary.
  • Make travel and lodging arrangements; prepare, submit, and coordinate travel and expense reports.
  • Organize and arrange logistics for meetings and conferences, including venue booking, preparing agendas, and managing minutes.
  • Attend meetings with or as a representative of the supervisor when needed.


Qualifications:

  • 5+ years of administrative or secretarial experience in a large, enterprise environment.
  • Bachelor's Degree.
  • Demonstrated ability to navigate and manage complex workflows and processes within a large enterprise.
  • Strong organizational and strategic thinking skills to improve efficiency and support operational objectives.
  • Proficiency in Office 365, SAP Concur, and SharePoint.
